Virtual number

A virtual number is a phone number not tied to a SIM card or physical line; calls to it are handled in the cloud and forwarded to phones, teams or software.

Also called virtual phone number, cloud number, cloud telephony number, virtual mobile number.

The cloud telephony platform that handles it can send each call wherever the business chooses: a salesperson’s mobile, a team’s phones, an IVR menu or an AI voice agent.

How it works

The number is issued by a telecom operator and set up on a cloud telephony platform, which is usually connected to the operator by a SIP trunk. When a call comes in, the platform applies the rules the business has chosen: ring three phones in turn, play a menu, record the call, send after-hours calls to a voice agent. None of this depends on where the staff are sitting or which handset they carry.

In India, virtual numbers come in a few forms: fixed-line numbers with a city code, toll-free numbers starting with 1800, and numbers in mobile format that vendors often sell as virtual mobile numbers.

Why it matters for sales teams

A virtual number separates the company’s phone identity from any one employee’s phone. When a salesperson leaves, the number, its call history and its recordings stay with the business, and so do the buyers who have it saved.

It also makes marketing measurable. A separate number for each campaign, portal or hoarding shows which source produced which call, and a missed call becomes a logged lead rather than a lost one.

Example

Say a Surat developer prints a toll-free 1800 number in newspaper ads for a new project. During the day, calls ring the site office. In the evening, the platform sends them to an AI voice agent that answers from the brochure and books site visits; next morning the sales team calls back anyone who asked for a person.

Common confusions

  • Virtual number vs DID number. DID is a routing idea: the dialled number takes the call straight to a destination. “Virtual” describes the absence of a SIM or copper line. A virtual number delivered over a SIP trunk is usually a DID as well.
  • Virtual number vs 140-series number. A virtual number is a way to receive and place calls; it is not permission to telemarket. TRAI’s 2025 amendment to TCCCPR (PDF), opens in a new tab keeps promotional calls on the 140 series and restricts ordinary 10-digit numbers for telemarketing, and the obligations are set out under TCCCPR 2018.
  • Virtual number vs IVR. The number is what the caller dials. The IVR is the menu they may hear after it answers.
  • Virtual number vs call forwarding. Forwarding moves calls from one real line to another. A virtual number has no line of its own to forward from: routing is the whole of what it does.
