Clinics and diagnostics

Appointment calls answered at any hour. Booked for your front desk to confirm.

Answers your appointment line at any hour, in the patient’s language, and books the slot for your staff to confirm. It answers from your documents, never with medical advice.

KavyaSparsh Dental Clinic, Surat

Uses your microphone. Nothing is recorded.

What callers ask

The questions it hears every day.

“डॉक्टर साहब कितने बजे बैठते हैं?”

What time does the doctor see patients?

Gives each doctor’s days and hours from your clinic’s documents, then offers to book.

“કન્સલ્ટેશનની ફી કેટલી છે?”

How much is the consultation fee?

Quotes the fee if your documents give it. If not, it says the clinic will tell them, and offers to book.

“Which painkiller should I take till then?”

Offers the appointment, where the doctor will advise. Medicines are not in your documents, so it gives no view on them.

“सोनोग्राफी में लड़का है या लड़की, बताएँगे?”

Will you tell us in the scan if it’s a boy or a girl?

Says plainly that this is never told, as the law requires, and moves on to the booking. The refusal is written into your agent and tested before it goes live.

What it writes

The lead card, from their own words.

Only what the caller said or agreed to. Anything they didn’t say stays empty, so your team knows what is still to ask.

Patient and caller
The patient’s name, and whether a family member is calling for them.
Callback number
The line does not pass on the caller’s number, so the agent asks for it, and your staff can call to confirm.
Reason
A few words, such as toothache or a check-up, never a diagnosis: enough to pick the doctor and the length of the slot.
New or returning
Whether your front desk opens a new file.
Doctor or department
Who the patient asked for, or which department fits.
Appointment
The day and time the patient asked for or agreed to, for your staff to confirm.
Language
So your staff call back in the language the patient chose.

Yours gets its own questions and its own card, set up with you and tested on calls before it answers a single caller.

Your numbers

Every call, counted.

Every figure comes from your own calls, in your dashboard from the first call.

Calls answered after hours

Inbound calls the agent took after your OPD closed, from the time on each call.

Calls to appointments

Calls that ended with a day and time agreed, out of every call answered, from the call records.

Reminder outcomes

Confirmed, moved or cancelled, from each reminder call, set against your own attendance list for no-shows.

Enquiry to consultation

Elective-care enquiries that booked a consultation, out of those the agent reached.

Rules

The rules your calls follow.

No medical advice

India’s Telemedicine Practice Guidelines let AI assist a doctor, never counsel a patient or prescribe. The agent answers only from your clinic’s documents and does not guess, so keep clinical advice out of them: a question about symptoms or medicines gets an appointment or a callback, not an answer.

Never the sex of a foetus

Under the PCPNDT Act, telling anyone the sex of a foetus is an offence. For IVF, ultrasound and imaging centres, the refusal is written into the agent when we build it, and the question is part of the test calls before it goes live.

Reminders and offers are different calls

Under TRAI’s 2026 amendment, a reminder about an appointment a patient booked reads as a service call. A check-up offer is promotional: it goes from a 140 number, with the list scrubbed against DND category 4 through your DLT access. The agent calls only inside your calling window and never rings a number on your suppression list.

Patient data under the DPDP Act

Under the DPDP Act, details a patient gives for a booking can be used for that booking; other uses need a basis of their own, such as consent. Ask only what booking needs. Each clinic’s calls and recordings stay in its own workspace, and recordings play only through links that expire.

UAE health data stays in the UAE

UAE law keeps health data from services in the UAE inside the country unless a health authority allows otherwise. BlackWolf processes calls in Singapore and Kuala Lumpur, so it does not take clinics in the UAE today.

Before you start

Questions, answered.

Will it give medical advice?

No. It answers only from your clinic’s documents and does not guess. Asked about symptoms or medicines, it says the doctor will advise at the appointment and offers to book one. That is tested on calls before your agent goes live.

What if a caller describes an emergency?

It tells them to go to the nearest emergency department or call the emergency number, 112 in India, and stops the booking. You agree the exact words when the agent is built, and they are tested before it goes live. The call and its transcript are on your dashboard when it ends; it cannot transfer the call to your staff today.

Will patients know they are talking to an AI?

If your agent tells them, and we recommend it does. Its opening line is written with you before it goes live, and it can say it is your clinic’s AI assistant and that the call is recorded. In the EU, saying so at the start is required from 2 August 2026.

Can we listen to every call?

You can read every one: the full transcript and a summary are on the lead when the call ends. The recording follows once the carrier has supplied it, kept in private storage and played through links that expire.

Where is patient data stored?

The dashboard, its API and the database run in Singapore, and live calls are handled on a server in Kuala Lumpur, Malaysia. Every company that processes data for us is listed on our Security page. Each client’s leads, calls and recordings are kept in its own workspace. That is also why we do not take clinics in the UAE, where health data must stay in the country.

Which languages does it speak?

Whichever your callers speak: English, Hindi, Tamil, Marathi, Gujarati, Arabic and many more. It switches when the caller does, even mid-sentence, and each language is tried on your own questions before a caller hears it.

Have you built clinic agents before?

BlackWolf’s agents take live calls for real-estate businesses today. A clinic agent is built the same way: from your documents and your questions, then tested on calls with you before it goes live. The clinic demo on this page shows how it sounds.

Try it on your own leads.

We build your agent from your brochure and your questions, test it on calls with you, then connect your number.
